When Keeping Good People Is Harder Than Finding Them — What That Means for HR in 2026

Malaysia’s Department of Statistics recorded 9.16 million jobs in Q3 2025, alongside a Labour Force Participation Rate of 70.9%. The quarter also recorded 197,100 job vacancies, reflecting continued demand for workers across the economy.

In this environment, businesses have more reason to focus on retaining the people they already have.

And retention, in 2026, depends on more than salary.

What Employees Are Actually Reacting To

The Jobstreet by SEEK Workplace Happiness Index Malaysia 2026 found that only 36% of workers are satisfied with their stress levels, while 41% say they feel burnt out or exhausted by their job. Among workers who are unhappy at work, 71% say improving work-life balance would increase their happiness.

These findings highlight why employee experience matters alongside compensation. How people work, how supported they feel, and how manageable their day-to-day work environment is can all contribute to how employees experience their workplace.

The Everyday HR Experience Matters

One area that can easily be overlooked in retention discussions is the everyday HR experience.

Waiting for a leave application to be processed. Having to ask HR about remaining leave balances. Submitting a claim and waiting for an update. These may seem like small administrative issues, but they can affect how employees experience their workplace and interact with HR.

In a competitive labour market, improving these everyday processes can help create a smoother employee experience.

Where SMEs Can Improve

For many SMEs, HR administration can involve spreadsheets, email, messaging platforms, and manual processes. While these tools may work for smaller teams, they can become increasingly difficult to manage as the business grows.

A more structured HR system can help reduce repetitive administrative work and give employees easier access to information.

What the Right System Changes

A modern HRMS can allow employees to manage leave applications, check leave balances, submit claims, and access payslips through a digital platform.

For HR teams, an HRMS can bring payroll, attendance, compliance, and employee records into a more centralised system. Automated statutory calculations for EPF, SOCSO, EIS, and PCB can also reduce manual work and help minimise calculation errors.

With Emspaced HRMS’s integration with SQL Accounting, payroll information can also be transferred into accounting records, helping reduce the need for manual data entry and reconciliation.

Retention Is an Operational Decision

When finding suitable talent takes time and resources, businesses have good reason to pay attention to the systems and processes that support their employees.

Better HR tools are not simply about administrative efficiency. They can also help businesses create a smoother employee experience and support a more organised approach to people management.

Emspaced HRMS gives Malaysian businesses a connected HR solution covering payroll, leave, claims, attendance, and SQL Accounting integration.
