Employee Turnover in Malaysia: What HR Teams Can Control

Employee turnover is more than simply replacing a person who leaves. Recruitment, onboarding, training and the ramp-up time before a new hire becomes fully productive all add up, on top of the disruption to the team left behind.

Employee turnover is more than simply replacing a person who leaves. Recruitment, onboarding, training and the ramp-up time before a new hire becomes fully productive all add up, on top of the disruption to the team left behind.

Aon’s 2025 Salary Increase and Turnover Study, based on a survey of more than 700 businesses across Southeast Asia conducted between July and September 2025, put Malaysia’s attrition rate at 18.2% in 2025, up from 15.3% in 2024. Aon also reported differences across industries in Malaysia, with retail and hospitality at 22.2%, manufacturing at 17.7% and technology at 17.1%.

For a growing business, even a moderate level of employee turnover can mean repeated recruitment and onboarding cycles, making effective HR processes increasingly important.

Why Employees Are Leaving

Salary remains an important factor in employee decisions, but it is not the only consideration.

Randstad Malaysia’s 2026 research found that 53% of employees who planned to leave cited low compensation as a reason. Lack of work-life balance was cited by 41%, while limited career growth was cited by 40%.

The same research found that salary and benefits, work-life balance and career progression were among the key factors employees prioritised when evaluating employers. (Source: Randstad Malaysia, Employee Retention: Understanding Malaysian Workforce Expectations 2026)

These findings show that employee retention involves more than compensation alone. Employees also consider their development opportunities, working environment and overall experience with their employer. None of these are things an HR system can fix on its own — pay, work-life balance and career growth are decisions for leadership, not software.

Where HR Processes Can Create Unnecessary Friction

What an HR system can change is the administrative load around every hire and every exit.

When routine requests require repeated follow-ups, employees cannot easily access their own information, or HR teams spend excessive time handling manual administration, unnecessary friction can build up.

An HR management system can help reduce some of this administrative burden by giving employees access to self-service functions while giving HR teams better visibility over workforce information — for example, employees checking their leave information, submitting claims and accessing relevant HR information through a system instead of relying on HR to handle every routine request manually.

What the Right HRMS Can Change

What it does change is the amount of manual work involved in each exit and each new hire, and how clearly HR can see turnover patterns as they happen.

With the right system, businesses can centralise areas such as payroll, leave, claims, attendance and employee records, which reduces the repeated manual steps involved in onboarding a replacement and closing out a departing employee’s records.

HR teams can also gain better visibility over workforce information, helping them spot turnover patterns by department or role earlier, rather than discovering them only once attrition has already become a problem.

Emspaced HRMS also applies statutory payroll updates — EPF, SOCSO, EIS and PCB — automatically, so payroll stays compliant as rates and thresholds change without manual recalculation.

Connecting HR and Accounting

Keeping HR and finance information aligned can also reduce unnecessary manual work.

Emspaced HRMS integrates with SQL Accounting, allowing payroll information to flow into accounting records and reducing the need for repeated manual data entry between HR and finance systems.

This gives businesses a more connected way to manage payroll and accounting information while reducing manual reconciliation work.

Building a More Efficient HR Environment

Employee retention depends on many factors, including compensation, career development, management, work-life balance and workplace experience.

An HRMS can help by creating a more organised and accessible HR environment, simplifying routine processes and giving employees greater access to their own information.

For businesses looking to streamline HR administration, Emspaced HRMS brings these processes together in one connected system.
